Privacy Notice
Information on the processing of personal data pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 of the European Parliament and of the Council (General Data Protection Regulation, “GDPR”) and Act No. 18/2018 Coll. on the Protection of Personal Data.
1. Controller
The controller of your personal data is KOCIS & PARTNERS law firm, with its registered seat in Košice, Slovakia (“we”, “us”), operating the Slovak Document Hub service. You can contact us at info@slovakdocumenthub.com.
2. Personal data we process
We process the personal data you provide in the request form and in subsequent communication, in particular: your name, email address, country of residence, the name of the person or company concerned by the document, details of the relevant event or record (date and location), the purpose of the document, the country of use, optional reference details, and any other information you choose to include in the description of your request.
3. Purposes and legal bases of processing
We process your personal data for the following purposes and legal bases:
- Assessing and responding to your request — taking steps at your request prior to entering into a contract (Art. 6(1)(b) GDPR).
- Performance of the engagement — where you engage us, processing necessary for the performance of the contract, including coordination with Slovak authorities, archives, registers, translators, couriers and professional partners (Art. 6(1)(b) GDPR).
- Legal obligations — compliance with obligations under Slovak law, including accounting, tax and anti-money-laundering legislation (Art. 6(1)(c) GDPR).
- Legitimate interests — record-keeping, establishment, exercise or defence of legal claims, and the security of our systems (Art. 6(1)(f) GDPR).
4. Recipients of personal data
Where necessary to handle your request, your personal data may be disclosed to Slovak civil-status registries, archives, courts, notaries, the land registry and other public authorities, as well as to sworn translators, courier and postal services, IT and email service providers, and professional advisers bound by confidentiality. Personal data is not sold or disclosed to third parties for marketing purposes.
5. Transfers to third countries
As a rule, personal data is processed within the European Union. Where a transfer outside the EU/EEA is necessary to handle your matter (for example delivery of a document to the country where it will be used), it takes place only to the extent required for the performance of the contract or on the basis of another appropriate safeguard under Chapter V of the GDPR.
6. Retention period
Enquiry data that does not lead to an engagement is retained for no longer than 12 months from the last communication. Data relating to an engagement is retained for the duration of the engagement and thereafter for the periods required by Slovak law (including statutory limitation periods and archiving obligations applicable to law firms), generally up to 10 years.
7. Your rights
Under the GDPR you have the right to:
- request access to your personal data and a copy of it (Art. 15);
- rectification of inaccurate or incomplete data (Art. 16);
- erasure of your data where the legal conditions are met (Art. 17);
- restriction of processing (Art. 18);
- data portability (Art. 20);

To exercise any of these rights, contact us at info@slovakdocumenthub.com.
8. Automated decision-making
We do not use your personal data for automated decision-making or profiling that would produce legal effects concerning you.
9. Security
We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse, including access controls and encrypted transmission of the request form.
